Fulfillment Mail Associate

Nationwide Children's Hospital

Location: Nationwide Children’s Hospital, 700 Children’s Dr., Columbus, OH 43205

Job Description: The Fulfillment Mail Associate is responsible for fulfilling orders, providing basic clerical and mail support to the department, including but not limited to: daily processing of interoffice, incoming, and outgoing mail, maintaining files and filing system, light typing, answering phones, and maintaining office inventory and supplies. The Fulfillment Mail Associate assures to meet both the quality and quantity requirements for fulfillment orders, and coordinate as needed with requesters, designers, and the USPS.

Duties and Responsibilities: The essential functions include, but are not limited to the following:

  • Sort and distribute all USPS, parcels and interoffice mail
  • Perform mail sorting and delivery of incoming First Class mail, UPS Packages, Internal NCH mail and off-site locations mail.
  • Process (meter) all out-going mail for pick-up by NCH’s pre-sort vendor on a daily basis per the established deadline.
  • Participate in appropriate mail runs per day during assigned times.
  • Pickup/Delivery of on and off-site mail and fulfillment orders from NCH, affiliates, and USPS locations. 
  • Deliver completed copy jobs to requestors.
  • Prioritize and process Express and Certified mail.
  • Process all mail to NCH’s mail fulfillment vendor as needed.
  • Communicating and working with both the Print Shop, Customer Service, and the Shipping Departments to organize work among these areas.
  • Utilize personal knowledge of in-process jobs and bulk-mailing methods to assist in bulk-mailings' compliance to U.S.P.S. regulations.
  • Coordinate the replenishment of mail meter and postage supplies with NCH’s purchasing department.
  • Manage service calls for NCH’s owned mail equipment.
  • Track daily volumes of incoming and inter office mail. Track in-coming and out-going Certified and Registered Mail.
  • Provide monthly reporting of postage usage for department charge backs.
  • Act as mail hub between NCH staff, couriers, and NCH off- site locations to assure proper deliveries.
  • Maintain monthly invoicing data records for department charge backs.
  • Ensures adequate amount of supplies and orders supplies when necessary.
  • Thorough knowledge and understanding of the current post machine system.
  • Postal process customer data files using BCC software and other various software.
  • Create, setup, and process variable data documents.
  • Coordinate fulfillment orders with internal/external entities

Education:

  • High School diploma or equivalent.

Required Experience:

  • Active Ohio Driver’s license with proof of auto insurance required.
  • Skill in collating and alphabetizing materials.
  • Skill in creating and maintaining files.
  • Good interpersonal communication skills.
  • Basic PC skills required to perform light typing.
  • Ability to maintain confidentiality and work independently.
  • Must be knowledgeable and have experience with regard to postal regulations
  • Previous mail experience required. Must have advanced understanding of mail classification, permit usage, and mailing requirements.
  • Experience working with direct mail data and variable digital print processing.
  • Must be proficient in basic Office suites
  • Prior fulfillment experience strongly desired, but not a requirement.

Schedule: Fulltime, Monday through Friday, 8am – 4:30pm
